Travel Coordinator – TASC Outsourcing – Dubai, United Arab Emirates

Purpose of the Role:

Carries out a variety of administrative and operational duties and staff support activities related to travel and visa arrangements for staff and their families, including new joiners and candidates.

Liaises with the relevant internal and external teams and authorities to facilitate and complete matters in an accurate, complete and timely fashion.


Main Duties and Responsibilities:

·Initiatives, reviews and manages the travel arrangement process for staff, their families, candidates and new joiners in an accurate, cost?efficient and timely manner.

·Accesses the travel application, provides timely and accurate advice and support in regards to travel routes, costs, timings and any potential challenges/problems.

·Liaises with the travel agents and airlines (if required) and researches best available travel and flight options. Instructs the agent to issue the final best option ticket and ensures correct, complete and timely ticket issuance.

·Prepares and submits complete and accurate flight and travel option documents and ensures timely and accurate completion of all bookings and arrangements as per the travel policy.

·Manages the visit process for candidates and joining arrangements for new joiners by liaising with the relevant teams in GS to arrange for visit or employment visa (as applicable), hotel reservations and transportation as per flight arrival and departure dates and times in an accurate and timely manner.

· update with any changes or expected changes of laws and regulations issued by the Government authorities regarding visit visas. Provides timely and regular updates to the concerned departments and Council staff. Proposes and implements changes to the internal process as required.

·Submits invoices, delivery notes and any other required documents on time for payment with all supporting attachments; handles petty cash reimbursements with all the required supporting documents.

·Maintains and updates General Services’ files, inventories, and records; implements and maintains data management system as required.

· Performs a range of diverse administrative activities for General Services as assigned by line manager.

·Provides support activities for the section such as answering telephones, assisting and resolving problems and inquiries of Council staff and candidate, review of and follow up on incoming/outgoing correspondence.

· Acts as holiday replacement for GS colleagues as required and assigned by line manager.

·Carries out other similar or related duties as assigned by line manager. Education and Experience Education

· Completion of Bachelor degree in Tourism or equivalent

·Expert knowledge of travel system such as Amadeus and Microsoft Office (Word, Excel, PowerPoint, Outlook)
